Position Title: Extension Administrative Assistant - Land Grant
Department: UTTC Land Grant Programs
Reports Directly To: Land Grant Director
Status: Full-Time

SUMMARY OF DUTIES:

Under the direct supervision of the Land Grant Director, the Extension Administrative Assistant will be responsible for performing the following tasks and duties:

  1. Provide general office support for Land Grant program staff; director, extension educators and nutrition and foodservice instructors.
  2. Manage and maintain educational materials, reports, correspondence, resource materials, supplies and basic office equipment (printer, fax, copier, etc.).
  3. Assist in development of USDA Extension proposals and strategic plans relating to Land Grant Programs.
  4. Maintain grant documents and budget documents.
  5. Perform duties specific to the goals and objectives identified in USDA and other program proposals.  This may include educational materials review, community education class organization, and collaboration with related programs and agencies.
  6. Work collaboratively with entities (tribes, state, and federal) relating to Extension goals and objectives to ensure cultural relevance.
  7. Communicate with Tribal organizations, agencies, and other postsecondary institutions to meet Land Grant goals and objectives.
  8. Coordinate meetings, conferences, and workshops as needed.
  9. Attend meetings related to project goals and objectives.
  10. Prepare progress reports to UTTC administration, USDA, and other collaborative agencies as needed.
  11. Other duties as assigned.

WORKING CONDITIONS:

General office conditions.  Normal working hours are from 8:00 am until 5:00 pm.  With a one-hour lunch break. Position may require overnight travel to tribal communities.  May need to work additional hours to complete project deadlines as needed.

SUPERVISION EXERCISED:

None.

MINIMUM QUALIFICATIONS:

Associate degree in Business or Office Technology or comparable work experiences.

OTHER QUALIFICATIONS:

  • Experience with Power Point presentations, Excel Spread Sheets, Publisher
  • People skills, friendly and caring, active listener, able to work with diverse people.(ages, culture, economic backgrounds, and education backgrounds).
  • Possess good oral and written communication skills.
  • Ability to maintain confidentiality.
  • Experience in support of Tribal Education programs.
  • Experience with Native American communities, agencies, institutions of higher education and related organizations.
  • Work experiences with tribal programs, foodservice, food safety, diabetes, obesity, worksite wellness, etc.
