Position Title: Housing Office Assistant - Temporary

SUMMARY OF DUTIES:
Under the supervision of the Housing Supervisor, performs all or some of the following duties:
- Greet visitors and assist with a friendly customer service approach.
- Answer all main stream phone calls and assist callers with the appropriate information or refer to the appropriate department staff person. Take messages and contact information.
- Provide general support for the housing department staff; director, occupancy specialists, compliance officer and housing custodian(s), such as, make outgoing calls when needed to contact and/or notify/tenant(s) or department for follow-up purposes.
- Manage and maintain files, materials, reports, logs, correspondence, and documentation of phone calls that require important information that allows the department to follow proper procedures.
- Punctual and reliable in reporting for scheduled work.
- Submit maintenance work order online as needed.
- Schedule appointments for Housing Director.
- Obtain mail and send out mail for the housing department.
- Set up, organize, and maintain files – student files, housing inspections, and general correspondence.
- Go on housing inspections when needed.
- Update various log books on the Jenzabar system and other housing data information.
- Provide clear and consistent daily communications within the tenants, housing staff and interdepartmentally staff.
- May need to attend workshops and/or trainings in regards to housing.
- Types reports, correspondence, meeting summaries, minutes for the Housing Director upon request.
- Do travel authorizations and other forms as requested.
- Order office supplies as needed.
- On occasion; assist with custodial duties upon great need.
- Other duties as assigned by the Housing Director.
WORKING CONDITIONS:
Position requires the ability to maintain friendly and helpful customer service in a high demanding and stressful working environment. Normal working hours are from 8:00 am until 5:00 pm with one hour for lunch break. There will be overtime unless the need arises.
MINIMUM QUALIFICATIONS:
Prefer Associate degree in office technology or related area but will accept a year certificate in a related area as long as the applicant has had strong customer service skills in a previous job that is in a related field. Qualified applicant will have at least a high school diploma or equivalent. The applicant must have some knowledge of these computer skills in Microsoft Word Outlook 2007. Applicant must be able to demonstrate good communication skills and the ability to deal with de-escalating tactics and maintain temperament when dealing with difficult people. The applicant must be diligent in carrying out procedural duties and hold confidentiality high along with some knowledge of FERPA.

Preference will be given to bona fide American Indian applicants in accordance with UTTC policies and Federal Indian regulations for such preference.
If selected for the position, the applicant is subject to a complete background investigation with favorable determination.
