SUMMARY OF DUTIES:
Under the direct supervision of the Vice President of Academic, Career and Technical Education, this position performs all of the duties summarized in this position description. The Medical Transcription Program Coordinator is responsible for the day-to-day functions of the Medical Transcription Program. The Coordinator must be available or provide alternative responsibility arrangements when off-campus. The Coordinator works closely with the Allied Health Department chair, faculty and learners to insure that the Program is meeting the college, industry, and the learners’ needs. The Medical Transcription Program Coordinator position serves to promote a collaborative and team approach to training skilled medical transcriptionists to meet the health care delivery system’s demand for such skills. The Medical Transcription Program is one part of the overall Allied Health Department which is one part of the overall United Tribes Technical College. Responsibilities include, but are not limited to:
- Instruct students based upon the curriculum as approved by the Allied Health Department Chair, Program Faculty, Curriculum Development Committee and Vice President of Academics, Career and Technical Education. Instructional methodologies include campus-based and online networking.
- Primary advisor for learners. This role is to be taken seriously and enter into advisement relationship with students insofar as these relationships do not interfere with other helping and/or therapeutic relationships that students have with United Tribes Technical College.
- Assists the Allied Health Department Chair with continuous quality improvement goals identified in the Department’s 5-year Action Plan and Assessment Plan, which includes but is not limited to: a) student learning outcomes; b) program effectiveness; c) faculty development; d) curriculum advancements per industry mandates; e) resource (technology) utilization; and f) maintenance of Program’s continued (fully) accredited/approved status.
- Recruiting new students and marketing the program.
- Maintains satisfactory records for student inquiry, admission, attendance, academic progression, and placement into industry.
- Assists the Allied Health Department Chair with managing the program budget and overseeing the financial resources are sufficient to provide effectiveness and efficiency.
- Provides adequate classroom, laboratory, professional practice experience opportunity, and administrative offices for students, staff, and faculty.
- Participates in other duties outside the classroom by membership in governance committees, participation in student activities, and advising such activities where appropriate. The College is a community and all its members have responsibilities to that community that go beyond their classroom duties.
- Additional responsibilities are: a) being sensitive to the cultures of the students taught; b) learning about those cultures; and c) integrating material from those cultures as appropriate.

WORKING CONDITIONS:
The Allied Health Department, and its Medical Transcription Program, provides a culturally diverse environment within its otherwise normal and general classroom and office conditions, including online course delivery.
Normal working hours are Monday through Friday, from 8:00 a.m. until 5:00 p.m. with one hour for lunch break. United Tribes Technical College provides a daily 30-minute paid break for the specific purpose of health and wellness activities. A flexible work schedule must be approved by the Allied Health Department Chair and communicated to the Vice President of Academics, Career and Technical Education. The Program Coordinator shall be granted release time for program official duties; release time shall not be more than 50% of time (20-hours/week). The ratio of release time to instructional workload must be approved by the Allied Health Department Chair.
This position requires long periods of sitting while working at the desk and on the computer. Must be able to ascend/descend a flight of stairs (50-steps) and occasionally lift items not heavier than 25 pounds.
MINIMUM QUALIFICATIONS:
- Accreditation and Certification: The Medical Transcription Program Coordinator must meet the qualifications of the discipline’s approval guidelines set by the Association for Healthcare Documentation and Integrity (AHDI) and the requirements set by North Dakota State Board of Career and Technical Education.
- Credentials: The Program Coordinator must hold (or obtain with the first year of employment) a current and valid Certified Medical Transcriptionist (CMT) credential. Additional health information management credentials are ideal.
- Education: Bachelor’s Degree from an accredited Health Information Management program or related field. A Master’s Degree in HIM or related field is preferred. The Program Coordinator may be in pursuit of advanced degree as approved by the Allied Health Department Chair and Vice President of Academics, Career and Technical Education.
- Experience: The Program Coordinator needs to have a minimum of 5-years experience in the health information management industry specific to medical transcription. Prior experience with educating and training is ideal.
- Certification: Needs to attain (within first year) and thereafter maintain the appropriate status of instructor certification granted by the North Dakota State Board of Career and Technical Education.
KNOWLEDGE, SKILLS AND ABILITIES:
- Academic Advising: Knowledge of the curriculum sufficient to promote optimal learning outcomes.
- Coaching/Motivating: Ability to coach and motivate learners to develop medical transcription skills and competencies mandated by the industry and within the term/dates defined by the institution.
- Written and Oral Communications: Provides regular written and oral feedback to learners sufficient to help them progress in their acquisition of industry skills. Writes reports and other official documents for the Allied Health Department.
- Computer Skills/Technology: Proficient computer skills are required to perform the essential job duties, including but not limited to simulated industry technology, such as speech recognition and dictation queues; Jenzabar EX, JICS/my.UTTC.edu; AHIMA/FORE Virtual Lab or other industry simulated systems and applications.
- Time Management: The ability to manage time while performing multiple tasks at one time is essential for adequate performance of the essential job duties.
- Networking: Knowledge of the industry’s professional associations and hiring companies is critical to maintain the Program’s national recognition and graduate placement directly into industry. Ability to build collaborative working relationships with other UTTC faculty and staff.
- Team Project Management: The ability to manage projects in a team environment is critical to the success of this position.
