Position Title: Associate Vice President of Operations
Department:  Student & Campus Services
Reports Directly To: Vice President of Student & Campus Services
Status: Exempt, 12 month

SUMMARY OF DUTIES:

To provide professional customer service.  To provide leadership for the following departments that resides within this department organizational structure:  Maintenance, Cafeteria, Transportation, Property & Supply, Housing and Purchasing. Under the direct supervision of the Vice President of Student & Campus Services, performs all or some of the following duties:

  1. Provides leadership and guidance for the Operations Departments which include:  Maintenance, Cafeteria, Transportation, Property & Supply, Housing and Purchasing.
  2. Manage, supervise and conduct performance evaluations for the above departments’ Supervisor(s) or Director(s).
  3. Advise the Vice President of Student & Campus Services in short and long term planning in support of the S&CS Strategic plan.
  4. Establishes, monitors, evaluates, and modifies processes, procedures, standards, and/or best practices ensuring alignment with College’s mission, vision, and values.
  5. Assess the department(s) effectiveness and its processes to ensure a cycle of continuous improvements.
  6. Prepare an annual operating budget request, goals and objectives for each department and monitor the departments’ performance.
  7. Makes routine and scheduled foot patrols of campus buildings, grounds, and parking lots, maintaining a high degree of visibility at all times.
  8. Plan, direct, or coordinate with department supervisor/director to improve profitability and efficiency.
  9. Directs and inspects facilities for regulatory compliance and/or program assurance.
  10. Develops and implements departments’ strategic plan in accordance with the College’s overall strategic plan,
  11. Maintains current knowledge in the field of operations management.
  12. Implements and updates policies and procedures to maintain compliance with federal, state and local laws and regulations.
  13. Ensures compliance with applicable building and safety codes, hazardous waste disposal, OSHA, hazardous material, etc.
  14. Plan buildings, grounds, equipment, furniture and facilities management program including deferred maintenance, systemic preventative maintenance, and replacement schedules.
  15. Maintain and report space utilization inventory and provides reports as needed.
  16. Supervise repair and maintenance work on college facilities and equipment as needed.
  17. Ensure quality and responsiveness of maintenance and operations activities.  Responds to incident reports, complaints and grievances according to the college’s established procedures.
  18. As necessary, respond to on-call and emergency situations; supervise an on-call system for maintenance personnel.
  19. Serve as a member on various college committees, task forces and projects internally.
  20. Participate in staff development activities.
  21. Other duties as assigned.

INDEPENDENCE OF ACTION:

Frequently makes difficult decisions regarding services provided by the Director of Operations functions.

SUPERVISION EXERCISED:

Supervisor/Director of the following departments:  Maintenance, Transportation, Cafeteria, Property & Supply, Mailroom, Purchasing and Housing.

WORKING CONDITIONS:

The associate vice president is expected to operate autonomously and professionally in all areas of responsibilities to reflect the mission of the department and college. The associate vice president should have the ability to communicate effectively with people in all areas of the college.   Position may require working evenings and weekends in the event of emergencies.

MINIMUM QUALIFICATIONS:

Master’s degree in business administration or management preferred or a Bachelor’s degree with a minimum of three years work experience in operations, supervision, management, finances, and customer services.
